It is a better HR product than ours, today

Onboarding workflows, e-signature, performance cycles and reporting are mature, refined over a decade, and unusually pleasant to use. Our Talent app — which is where our equivalent of half of that lives — is a scaffold with no features, and our own site says so.

US payroll, benefits and compliance depth

Filing, benefits administration and the surrounding US compliance are a serious operation. We do not offer benefits administration at all.

A large integration marketplace

Hundreds of connectors, and a skills market of people who already know the product. Neither exists for us.

What Rutba does that this does not.

Argued from how the products are built rather than from a feature list, because feature lists are the part of a comparison that goes stale first.

The hours have a source

BambooHR records time off and time tracking; the hours themselves usually arrive from a separate clock or a spreadsheet. Rutba ships the shared wall device — badge or PIN, offline tolerant — so the overtime payroll pays is an hour somebody worked rather than an hour somebody typed.

Payroll posts into the ledger it belongs in

A pay run in Rutba writes the accrual and the payout into the same accounts your P&L is drawn from, split by cost centre so a department can be asked what its people cost. Between an HRIS and an accounting package that is an export, a mapping and a monthly reconciliation.

The employee record is the same record the business uses

The person approving the purchase order, the engineer on the job sheet and the employee on the payslip are one row. In a standalone HRIS they are three rows in three systems joined by a name.

One vendor for the whole thing

BambooHR is the HR part of a stack that also needs accounting, a workspace and whatever runs your operation. Rutba is the argument for not assembling that.

And the one that is not a feature

BambooHR LLC will not build what you ask for. We will.

That is not a criticism of them — a vendor at their scale has to weigh your request against every other customer it touches, and schedule it behind a roadmap set a year out. Your request is a rounding error in their planning, honestly so. We are small, and the people building the product are the people you talk to: what helps everyone goes into the product at no extra charge, what is specific to you is quoted as the work it is, and when the answer is no you get the reason.

Moving

What leaving BambooHR actually involves.

The question that decides this is not whether you should move but whether you can. This is the honest version, including the parts that do not come across.

    Employee records, departments, positions and time-off balances export well and import cleanly. This is the easy half.

    Onboarding workflows and custom fields do not port as workflows — they are re-specified rather than migrated.

  3. 3

    Move at a payroll period boundary, and run one parallel cycle before you switch off the old one.

  4. 4

    Signed documents stay where they are. Export them and keep them; do not try to re-import a signature.

No customer has done this yet. The steps above describe the mechanism — what exports, what imports, what has to be rebuilt — rather than a migration we have run. When one has been run, this section will say whose it was.

Our actual recommendation

If HR is the whole requirement and your finance system is settled, BambooHR is a better HR product than ours and we would say so. The comparison starts to matter when you are also paying for a time clock, an accounting package and the person who reconciles them each month.
