What Zoho One is

A bundle of several dozen Zoho applications — CRM, books, inventory, mail, projects, desk and many more — licensed at a single price per employee, with the requirement that every employee is licensed.

Breadth, immediately

There are more applications in Zoho One than in the whole Rutba catalogue, including several categories we do not cover at all. If you need a specific one of them, that settles it.

The all-employee price is genuinely simple

One number times headcount, and no decisions about who gets what. That is easier to budget than any per-product model, ours included.

A long track record and a very large installed base

Which brings documentation, community answers, and people you can hire who already know it.

Argued from how the products are built rather than from a feature list, because feature lists are the part of a comparison that goes stale first.

One data model rather than applications with connectors between them

Zoho One is a bundle of separately-built products with integrations between them, and the seams show where the integrations do not reach. Rutba products read the same records — the customer on the invoice is the row, not a synced copy of it.

You are not required to license everyone

Zoho One is priced on the basis that every employee is licensed, which is expensive if half your headcount touches one screen. Rutba is priced per product and per user of that product.

The parts sell standalone

You can buy Rutba Send or Rutba Media without buying a suite. Zoho One is the bundle.

And the one that is not a feature

Zoho Corporation will not build what you ask for. We will.

That is not a criticism of them — a vendor at their scale has to weigh your request against every other customer it touches, and schedule it behind a roadmap set a year out. Your request is a rounding error in their planning, honestly so. We are small, and the people building the product are the people you talk to: what helps everyone goes into the product at no extra charge, what is specific to you is quoted as the work it is, and when the answer is no you get the reason.

Moving

What leaving Zoho One actually involves.

The question that decides this is not whether you should move but whether you can. This is the honest version, including the parts that do not come across.

    Per-application exports exist across the Zoho range and are good. The work is joining them, because they come out as separate products.

    Cross-product links — a Books invoice against a CRM account — often do not survive the export, so the relationships are rebuilt at import.

  3. 3

    Deluge scripts and custom Zoho functions do not port. Anything automated that way is re-specified rather than migrated.

    Expect a cut-over date rather than a parallel run: two systems both holding "the customer" is the problem you are trying to leave.

No customer has done this yet. The steps above describe the mechanism — what exports, what imports, what has to be rebuilt — rather than a migration we have run. When one has been run, this section will say whose it was.

Our actual recommendation

If you use more than about eight of the applications, Zoho One is hard to beat on price and we would say so. Look at us if you use three or four and are paying for forty, or if the joins between them are where your week goes.
