Rutba vs Salesforce and HubSpot
CRM-first platforms with enormous depth in the funnel. The comparison is about what happens after the deal closes.

What Salesforce and HubSpot is
Customer relationship platforms covering marketing, sales, service and increasingly commerce, extended through very large app ecosystems and, in Salesforce’s case, a full development platform.
Who it genuinely suits
- Sales-led businesses where the funnel is the operation
- Companies with a dedicated revenue operations function
- Anyone whose requirement is depth in marketing automation or sales process
Where they win
What Salesforce and HubSpot does better than us.
Every comparison page on this site has this section and none of them is empty. If it were, you would be right to discount the rest of the page.
Depth in the funnel that we do not have
Forecasting, territory management, lead scoring, sequences, attribution. If revenue operations is a job title in your company, they are ahead of us and it is not close.
Ecosystems and skills markets
You can hire someone who already knows the product. That is worth a great deal and we cannot offer it.
HubSpot’s free tier is genuinely useful
A small team can run a real pipeline on it without paying anything.
Where we win
What Rutba does that this does not.
Argued from how the products are built rather than from a feature list, because feature lists are the part of a comparison that goes stale first.
The deal becomes an order without an integration
A won opportunity in Rutba is the order, against the stock, on the invoice, in the ledger. In a CRM-first world that transition is a connector somebody maintains.
Support and sales share the customer
The helpdesk ticket is on the same customer record as the quote and the invoice, because they are the same record.
Total cost at our size
Once marketing, sales, service and the connectors to the finance system are counted, the CRM-first stack is rarely the cheaper answer for a business under a couple of hundred people.
And the one that is not a feature
Salesforce and HubSpot will not build what you ask for. We will.
That is not a criticism of them — a vendor at their scale has to weigh your request against every other customer it touches, and schedule it behind a roadmap set a year out. Your request is a rounding error in their planning, honestly so. We are small, and the people building the product are the people you talk to: what helps everyone goes into the product at no extra charge, what is specific to you is quoted as the work it is, and when the answer is no you get the reason.
Side by side
The same six questions the hub asks of everyone.
| Question | Rutba | Salesforce and HubSpot |
|---|---|---|
| Runs the businessCRM, stock, orders, production and the ledger, from one vendor | Included | Partly |
| Runs the dayMail, files, documents, chat and meetings, included rather than licensed separately | Included | Not covered |
| One set of recordsDo the modules share the records, or integrate copies of them | Included | Partly |
| Buy it yourselfCan you subscribe and start without a partner or a sales cycle | Included | Included |
| Parts sold separatelyCan you take one piece without committing to the platform | Included | Included |
| Run it yourselfIs there a path to your own hardware | Partly | Not covered |
On price: We do not reproduce Salesforce and HubSpot’s prices here. A list price is published and fair to quote, and it is stale within a quarter — which would make this page quietly wrong in a way you could not see. Read today’s number from them, and ours is on our pricing page in full, tier by tier.
Moving
What leaving Salesforce and HubSpot actually involves.
The question that decides this is not whether you should move but whether you can. This is the honest version, including the parts that do not come across.
- 1
Contacts, accounts, opportunities and activity history export well. The pipeline structure usually needs simplifying rather than replicating.
- 2
Marketing automation sequences do not port and should be treated as a rebuild.
- 3
Custom objects and Apex do not port.
- 4
You can run both for a period — a CRM is the easiest system to parallel-run, because the cost of a duplicate contact is low.
No customer has done this yet. The steps above describe the mechanism — what exports, what imports, what has to be rebuilt — rather than a migration we have run. When one has been run, this section will say whose it was.
Our actual recommendation
If your business is the funnel, stay where you are. Look at us if the CRM is the front of a business whose back half lives in four other systems, and the connector between them is where your errors come from.
