What MaintainX is

A cloud CMMS focused on procedure-driven maintenance: work orders with typed procedures, real-time chat per asset, preventive maintenance, parts and vendor management, and mobile-first offline capture. Sold per user, with an inspection module aimed at food, pharma and safety-critical shops.

Procedures as first-class objects

A procedure is a typed thing with steps, sign-offs, timers and required fields, not a text note. That is the right shape for regulated work and ours does not have it yet.

Chat attached to the asset

A conversation about the pump lives on the pump's record, not in a Slack channel and not in the ticket. We have Rutba Chat but the seam to an asset is not built.

The mobile experience is a product decision, not a port

Built mobile-first; the browser version came after. Ours is a web app and honest about it.

Argued from how the products are built rather than from a feature list, because feature lists are the part of a comparison that goes stale first.

The register is the shared object

Same argument as against UpKeep: an asset the HR officer issued, the accountant depreciates, and the facilities team maintains is one row - here, and separate systems there.

The books know about the parts

Parts drawn against a work order come out of Rutba Inventory and post to Rutba Books, without an export. MaintainX exports the material cost; then somebody enters it into the ledger.

HR joiner and leaver reclaim from the same register

A leaver's outstanding asset assignments are the offboarding audit's open items, because the register and the HR checklist read the same table. MaintainX cannot do this because it has no HR to talk to.

And the one that is not a feature

MaintainX, Inc. will not build what you ask for. We will.

That is not a criticism of them — a vendor at their scale has to weigh your request against every other customer it touches, and schedule it behind a roadmap set a year out. Your request is a rounding error in their planning, honestly so. We are small, and the people building the product are the people you talk to: what helps everyone goes into the product at no extra charge, what is specific to you is quoted as the work it is, and when the answer is no you get the reason.

The question that decides this is not whether you should move but whether you can. This is the honest version, including the parts that do not come across.

    Assets and vendors export cleanly from MaintainX.

    Procedures should be rebuilt rather than imported when M4 lands - the shape will differ and a bad import costs more than a rewrite.

    If procedure-driven maintenance is your regulatory requirement, wait until we ship the equivalent or stay.

No customer has done this yet. The steps above describe the mechanism — what exports, what imports, what has to be rebuilt — rather than a migration we have run. When one has been run, this section will say whose it was.

Our actual recommendation

If your work is procedure-driven, safety-critical or heavily audited, MaintainX is a good answer this quarter. Look at us when the register needs to serve HR and the ledger too, or when the parts drawn on a job should reach the accounts without an export.
