Team chat keeps every decision somewhere nobody can find it

Six months later, the reason you discounted that order is in a channel, ninety messages up, phrased in a way nobody would search for. Some conversations belong in a channel. That one belongs on the order.

A general channel of untraceable messages on the left; on the right, the same discussion attached to order SO-4471.
The same conversation, filed where somebody will look for it.

Chat tools are excellent at the thing they were built for: fast, informal, low-ceremony conversation. They are terrible at the thing they get used for, which is deciding things.

A discount gets approved in a channel. Nine months later somebody asks why that customer is on those terms. The answer exists — it is in the scroll-back, phrased as "yeah go on then", between a lunch order and a link to something unrelated. It is not findable by search because nobody wrote the order number, and it is not findable by scrolling because there are ninety thousand messages.

Two kinds of conversation, filed differently

Rutba Chat keeps the general conversation in channels, where it belongs, and the specific conversation on the record it concerns. A discussion attached to an order, a ticket or a customer, with deep links both ways.

So the reason for the discount is on the order. Not summarised there by somebody diligent afterwards — held there, as the conversation itself, because that is where it happened.

Search is how you find a message. Attachment is how you find a decision.

A withdrawn message says so

Edit and delete carry revision history. A message that was withdrawn shows as withdrawn on the record, rather than vanishing.

That is a deliberate trade against tidiness. If the discussion attached to an order is going to be treated as a record — and the whole argument above says it should be — then a record that can be silently edited afterwards is not one.

Retention and export, per organisation

  • Channels, direct messages and threaded replies.
  • Searchable history, read state, presence, and mentions with directory autocomplete.
  • Membership driven by your organisation roles rather than by invitations somebody forgot to revoke.
  • A retention policy and compliance export, per organisation.

One app, three surfaces

Chat, Meet and Calls share a single front end. Buying any of them puts the same application in front of your team, showing the surfaces you are licensed for — so adding meetings later is a licence change rather than a rollout.
